Recurring invoices
Recurring invoice management allows you to generate an invoice that you need to send periodically, from an already created template. This saves you from having to create the invoice each time. To manage recurring invoices, you first need to create the template. You have two ways to create the template:
Create the template of a recurring invoice from a created invoice.
Section titled “Create the template of a recurring invoice from a created invoice.”You can generate the template, taking advantage of information from an invoice you have already created in the past. To do this, access the Income section through the main top menu and then Commercial invoices or Tickets through the options on the top left:
- Click on the number of the invoice you want to convert to template.
- In the top menu of the invoice, use the More options option.
- Use the Save as recurring invoice option.
On the next page you access the invoice creation form:
- It leverages the data from the invoice you are converting to recurring.
- You can modify some data if you want.
- In the General data section, in the Frequency dropdown, you must select the billing frequency of the recurring invoice.
Finally go to the bottom of the page, select Continue and on the next page, use the Save and preview option to finish creating the recurring invoice.
To view all the recurring invoice templates created, access Revenues through the top main menu and Recurring in the submenu that is activated just below the main menu.
Create a recurring invoice template from the templates section.
Section titled “Create a recurring invoice template from the templates section.”You can generate the recurring invoice template from the Templates (recurring) section. To do this, access the Income section via the main menu and then Templates (recurring) via the options on the top left:
- Use the Create recurring invoice option.
- On the next page use the drop down to select the invoice customer.
- Then use the Continue option.
You access the form that allows you to create the invoice. You must follow the steps as you always do. Here you can see how to create an invoice with B2Brouter.
In the General data section you must select the billing frequency of the recurring invoice, using the drop-down Frequency.
Finally save the changes using the Save and preview option and the template is generated.
Send a recurring invoice
Section titled “Send a recurring invoice”Access the Income section through the main menu and then Templates (recurring). You have two ways to create recurring invoices from the template:
- Use the Create recurring invoice option.
- Through the list of the created templates, mark those templates that you want to convert into an invoice (box on the left of the list) and use the Create invoice option that is activated in the upper right part of the list.
The invoice is created with the template information and appears in the Income invoice list with the status Draft. It is not sent by itself: review it and send it like any other invoice.
The option to generate the recurring invoice is only activated for those invoices that are in the period of being sent, in relation to the date of the template and the selected frequency.
Generate invoices automatically
Section titled “Generate invoices automatically”Instead of using Create invoice each time, you can have B2Brouter create the invoices for you. Turn on Generate invoices automatically in the Recurring invoices section of the company settings. Every day, B2Brouter creates the invoice of each active template that reaches its date.
Automatic generation requires a Professional plan or higher.
The generated invoice also stays as a Draft. B2Brouter creates it but does not send it: you must review and send it.
What changes on each invoice
Section titled “What changes on each invoice”Each invoice generated from a template takes the date of the day it is created and the next number of the series.
Some fields also move forward by themselves on each invoice:
- Invoicing period. It moves forward by one frequency on each invoice, both the invoice period and the period of each line. It only moves if it has both a start date and an end date: if one is missing, the period does not move. On the template, enter the period of the first invoice.
- Months and year in the text. The month names and the year that you write in the line descriptions and in the Note are updated on each invoice. For example, «Monthly fee July 2026» becomes «Monthly fee August 2026». With a yearly frequency, only the year changes.
- Due date. It only moves forward if the Due date terms of the template are Custom. In all other cases, the due date is calculated as usual.
Everything else is copied as it is on the template: the customer, the lines, the amounts, the taxes and the discounts. If any of these data change, edit them on the template.
Stop a recurring invoice
Section titled “Stop a recurring invoice”The template is what generates the invoices. To stop them, go to Income and then Templates (recurring), and act on the template:
- Deactivate pauses the template, and it stops generating invoices. You find it in the row menu of the template, in More options inside the template, or in the list, on the templates that you mark.
- Activate resumes a deactivated template. The template jumps to the current period: it does not generate the invoices of the months it was paused.
- Delete, in More options inside the template, deletes it. The invoices it already generated are kept.
